Daily Paperwork Pro

Our terms, in plain English

This is the agreement for using Daily Paperwork Pro. We wrote it in short, everyday sentences so you can read it on your phone and know exactly what you are agreeing to.

Draft — still being reviewed

This is a draft. A lawyer is reviewing it right now. The wording may change a little before the final version is published. Do not treat this draft as the final legal document.

Same agreement, two versions

There are two versions of these terms: this plain-English version, and a formal legal version written in lawyer language.

They are the same agreement. This version just says it in plain words. If the two versions ever say something different, the formal legal version governs — that means the legal version is the one that counts.

Who this is between: Daily Paperwork Pro (we, us, our) and the company or person who buys a subscription (you, your).  ·  All prices on this page are in Canadian dollars.

Prices at a glance

Extra supervisor seatAny subscriber with an active plan can add seats — you do not need the Administrator Bundle $75 / month
$430 / 6 months
$810 / 12 months
One more supervisor, added to an active plan you already hold — the combined subscription or the Administrator Bundle. Extra seats are add-ons only: you must already hold one of those plans, and a seat is never sold on its own. Each extra seat includes both apps.

1 What you get

You get two apps, and they always come together:

  • Safety Assistant Pro
  • Daily Paperwork Assistant Pro

You cannot buy one without the other. There is no single-app option.

Together, they cost $75 a month, $430 for 6 months, or $810 for 12 months.

That price includes ONE supervisor seat — one supervisor covering one job site. It covers that supervisor's whole site — not just the supervisor.

That is the seat count for this plan: combined subscription = 1 seat. If you need more supervisors, you can add extra seats to this plan — you do not need the Administrator Bundle to add seats. Extra seats are explained in Section 2. The Administrator Bundle in Section 2 is a separate option for bigger companies: it includes 2 seats plus the admin hub.

Your crew and the trades working on your site use the apps free. They scan a QR code posted on site to check in, fill out forms, and sign off. They never pay, and they do not need their own subscription.

2 The Administrator Bundle — for bigger companies

If your company has several supervisors, there is an Administrator Bundle.

It costs $2,700 for 24 months.

For that price you get:

  • The admin hub — the central place where the office can see supervisors and jobs, allocate seats, and pull records across sites.
  • Two supervisor seats included. This is important: the $2,700 bundle does not just buy the hub. It includes two full supervisor seats, and each of those two seats includes both apps.
How the two included seats work: Each of the two included seats runs on its own 12-month clock. When you activate a seat, that seat gets 12 months from that day. The two seats do not have to start on the same day, and one seat running out does not affect the other. The 24-month term is the term for the admin hub itself.

Need more seats? Extra seats cost $75 a month, $430 for 6 months, or $810 for 12 months each. Any subscriber can add extra seats — whether you have the combined subscription or the Administrator Bundle. You do not need the bundle to add a seat. Every extra seat also includes both apps.

To be clear one more time: the Administrator Bundle includes two supervisor seats, each on its own 12-month clock. Extra seats are on top of those two.

Seat counts, side by side:
• Combined both-apps subscription ($75 / $430 / $810) = 1 supervisor seat — one supervisor, one job site, crew and trades free by QR code.
• Administrator Bundle ($2,700 / 24 months) = 2 supervisor seats included, each on its own 12-month clock, plus the admin hub.
• Extra seats = add-ons at $75 / $430 / $810 each, both apps included — any subscriber with an active combined subscription or the Administrator Bundle can add them, through the admin hub or their own account. A seat is never sold on its own.

3 The free trial

You can try both apps together, free, for 10 days.

During the trial you get 12 toolbox talks and 3 printable safety signs, so you can see how the apps work.

The full libraries — all 80 toolbox talks and all 10 safety signs — need a paid plan. So do FLHA generation and sub trade hazard assessments.

There is one trial per account. You cannot start a second trial on the same account after the first one ends.

4 Your clock — when your time starts and ends

Every purchase starts its own clock on the day you activate it. Nothing starts early, and nothing is shared between purchases.

That rule applies to everything:

  • A regular subscription runs from the day you activate it.
  • The Administrator Bundle's hub runs for 24 months from its activation.
  • Each of the two supervisor seats included in the Administrator Bundle runs on its own 12-month clock, starting the day that seat is activated.
  • Each extra seat runs on its own clock for the term you bought for that seat.

We will remind you one week before your paid time runs out, so you have time to renew.

If the admin hub is not renewed, seats that were already paid for keep working until their own paid time runs out. A lapsed hub does not cut off a seat that still has time left on its own clock — including the two seats included with the bundle, while their 12-month clocks are still running.

5 Paying

You must read and accept these terms before you can buy anything. There is no purchase without accepting the terms first.

Payments go through Stripe, a payment company. We do not hold your card details ourselves — Stripe handles the payment.

If a payment fails — for example, a card is declined — you get 7 days to fix it. If it is not fixed in those 7 days, access is paused until payment goes through.

There are no refunds for time you did not use. If you cancel partway through a term you already paid for, that paid time is not refunded.

6 Your records are yours

The paperwork your company creates in the apps — your talks, forms, reports, timesheets, sign-offs, and photos — belongs to your company, not to us.

We store it so the apps can work. We do not claim ownership of it.

You can export your records (that means download a copy to keep) at any time while you are subscribed.

If your subscription ends, you still have 30 days after it ends to export your records. After those 30 days, we may delete them.

7 Working with no signal

Job sites do not always have signal. The apps are built for that.

The apps work with no signal at all. You can fill out a form, do a check-in, or file a record in a dead zone, and it is saved on the device.

When signal comes back, the apps send everything automatically. A record made in a dead zone is not lost just because there was no signal when you made it.

8 If something goes wrong

We work to keep the apps running and your records safe. But no software is perfect.

If something goes wrong and your company suffers a loss because of the apps, our total responsibility is limited to the amount you paid us in the previous 12 months.

In plain words: Say you paid us $810 over the last 12 months. If something went badly wrong, the most we would be responsible for is $810 — not more than that, even if your loss was bigger. Lawyers call this a “limit on liability.” Liability just means legal responsibility to pay for a loss.

This limit applies to the fullest extent the law allows.

9 If we change these terms

We may update these terms from time to time — for example, to fix a typo or make a sentence clearer.

If we make a big change — one that really affects what you pay, what you get, or your rights — we will tell you 30 days ahead of when it takes effect. You will not be surprised by a major change with no warning.

10 Taxes

Right now, no GST is charged on our prices.

That is because the business is under the government's $30,000-a-year small-supplier limit. Small businesses under that limit do not have to charge GST. (GST is the federal goods and services tax.)

If the business goes over that $30,000 limit, GST will be added on top of the price. How much GST applies is based on where the customer is located.

Alberta has no provincial sales tax, so there is no Alberta sales tax added.

11 The law that applies

The law that applies to this agreement is the law of Alberta, Canada.

In plain words: if there is ever a legal dispute about this agreement, Alberta law is the law used to sort it out.

Accepting these terms

By signing below — or by accepting these terms when you buy in the apps — you are saying: “I have read these terms, I understand them, and I agree to them on behalf of my company.”

You must accept these terms before any purchase is completed. If you are signing for a company, you are also saying you have the authority to agree on that company's behalf.

I have read and I accept the Daily Paperwork Pro terms of service, including this plain-English version. I understand that if this version and the formal legal version ever differ, the formal legal version governs.
